Exhibition Guidelines
(1) [Exhibition Application Procedure]
1. Please fill out the exhibition contract as required and fax or mail it back to the organizing committee office with the official seal.
2. Exhibitors must pay a 50% deposit to the organizing committee within one week from the date of signing the contract to secure their booth and advertising; booth allocation is based on the principle of "first come, first served" until full. The organizing committee reserves the right to change or cancel any unpaid booths. If you wish to advertise in the conference publication or on-site, please submit the advertising materials (film, text description, images, or design layout) to the organizing committee office one month before the event.
(2) [Booth Setup Arrangement]
This exhibition's booths are divided into standard booths (hereinafter referred to as standard booths) and special booths (hereinafter referred to as special booths). Any exhibition unit whose booth design exceeds 4m in height must report to the organizing committee and obtain approval before setting up.
1. Standard Booth: Size: 3m x 3m, each booth will have three side panels (panel height is 2.5m) provided uniformly by the organizing committee, one table, two chairs, one power outlet, one lighting lamp, and all other decorations are to be arranged by the exhibitor.
2. Special Booth:
A. The organizing committee will provide a designated area and size according to the contract, and the design and construction of the booth will be the sole responsibility of the exhibitor.
B. To meet the design requirements of special exhibition units, please submit a set of booth design materials (including design drafts, power facility installation requirements, and water source configuration requirements, etc.) to the organizing committee one month before the event.
C. After receiving the materials submitted by the exhibitor, the organizing committee will conduct a review and prepare for the setup according to the reasonable requirements in the submitted materials. If the submitted materials do not comply with relevant regulations, the organizing committee will notify the relevant exhibitor of the review comments, and the exhibitor must resubmit for review within 5 days according to the rectification requirements. The final submission deadline is one month before the event. If the exhibitor fails to pass the fire safety, power distribution, and other approvals by the deadline, they will not be allowed to enter the venue for construction.
D. The content approved by the organizing committee on the booth design draft must not be changed without authorization. If changes are necessary, they must be submitted for approval by the organizing committee. Any violations will be the sole responsibility of the exhibitor.
E. The vertical projection of all special booths must not exceed the reserved booth area. If the booth design affects the normal exhibition effect of other exhibitors, the organizing committee reserves the right to require the exhibitor to change the booth design.
(3) [Setup Instructions]
To ensure that the setup work for this exhibition can proceed safely and orderly, all relevant units must comply with various regulations and fire safety regulations. The organizing committee hereby explains the relevant matters as follows, please follow the instructions:
1. The text on the standard booth nameplate (full name of the exhibiting unit) will be uniformly produced and installed by the organizing committee.
2. Exhibitors will be responsible for the carpet and interior decoration of their booths. All carpets and floor decorations can be fixed with double-sided tape, and the use of various paints or glues on the exhibition hall floor is strictly prohibited.
3. If the exhibitor has a setup company responsible for construction, the setup company must display its construction permit prominently at the booth during construction. Construction must strictly follow the design drawings and must not operate beyond the scope specified in the construction permit, and must accept supervision and inspection from the organizing committee's on-site management personnel at any time. If the setup company is found to be operating beyond the specified scope or violating regulations, management personnel may issue a verbal warning up to revoking their construction qualifications, and all consequences arising therefrom will be the responsibility of the setup company.
4. The organizing committee will provide electricity according to normal standards. Exhibitors are strictly prohibited from privately connecting power lines or adding lighting fixtures. If overload electricity is needed, the exhibitor must go to the organizing committee's on-site service desk to pay the fees according to regulations, after which the organizing committee will send an electrician to operate. Any violations will be the sole responsibility of the exhibitor (please see Appendix 1 for the charging standards).
5. It is prohibited to randomly place, hang, or nail various exhibition samples, promotional materials, or other signs in pedestrian passages, stair entrances, and fire facility points in the exhibition hall.
6. Booth construction must not obstruct fire equipment, electrical equipment, emergency exits, and audience passages within the venue. No exhibition racks or booths may be built under the fire shutter doors of the exhibition hall.
7. It is strictly prohibited to use double-sided or single-sided adhesive materials to stick any objects on the columns in the exhibition hall passages. No holes may be drilled, paint applied, glue used, pasted, or colored on walls or floors. It is prohibited to saw or cut exhibition materials, panels, or paint, nail, or drill holes on exhibition materials or panels. No damage to any facilities of the exhibition hall is allowed, and any violations must be compensated according to the price list.
8. It is prohibited to nail or suspend exhibition racks, light boxes, and various decorative objects from the ceiling of the exhibition hall.
9. After unpacking exhibition samples, flammable packaging materials such as boxes, shredded paper, foam, and sawdust must be cleared out in a timely manner, and no packaging boxes or other debris may be stored behind the booth back panel.
10. Smoking is strictly prohibited in the exhibition hall. The storage and use of flammable, explosive, radioactive, and toxic materials are prohibited. Open flame operations are strictly prohibited at the construction site.
11. Sufficient heat dissipation holes should be left when making light boxes, and the fluorescent lamp ballast should be separated from the box. Light boxes made of flammable materials must be treated for fire prevention inside. Electrical safety must comply with relevant regulations and professional standards to ensure safe power supply and use.
12. The maintenance of special booths is the responsibility of the setup company, and the relevant exhibiting units are responsible for supervision.
13. Overtime Instructions: All units must complete the setup within the specified time. If overtime is needed, they must pay the fees according to regulations before proceeding with the extended construction.
(4) [Precautions During the Exhibition]
◆ Notice for Exhibitors' Check-in
1. Exhibitors can enter the venue for setup with the exhibition contract and company name during check-in.
2. Items available for collection during check-in include: event schedule, setup certificate, equipment registration form, exhibition instructions, exhibition badges, etc.
◆ Exhibition Management
1. Management of the entry and exit of exhibitors' exhibits and materials.
A. During the setup and exhibition period, all items entering the venue by exhibitors must undergo security checks.
B. During the exhibition setup period, before the venue closes, please collect the "Equipment Registration Form" from the service desk set up by the organizing committee on-site, fill it out carefully, and verify it with the organizing committee staff. After both parties sign to confirm, you may leave the venue.
C. All valuable items or easily portable items, such as laptops, business phones, mobile phones, phone cards, etc., must not be registered on the "Equipment Registration Form". If registered and not found during the verification by the organizing committee staff, the organizing committee will not be responsible for their safekeeping.
D. The property of exhibiting units registered on the "Equipment Registration Form" will be kept by the organizing committee. For any property outside of this, if lost or damaged, the exhibiting unit will be responsible.
E. During the setup and exhibition period, all items stored by exhibiting units in the venue must not be moved out of the exhibition hall at will. If an exhibiting unit must move exhibits out of the venue during the setup and exhibition period, they must hold the "Exhibitor's Item Exit Pass" issued by the organizing committee (to be collected at the on-site service desk) and have it signed by the on-site responsible person of the exhibiting unit before being allowed to leave.
2. During the exhibition, please pay attention to the on-site broadcast notifications, especially to ensure fire safety, electrical safety, theft prevention, and other safety measures.
◆ Booth Management
1. It is strictly prohibited to transfer or sublet (sell) booths. Any inconsistency between the actual user of the booth and the exhibiting unit indicated on the booth nameplate will be regarded as a violation of the transfer or subletting (selling) rules. This includes:
A. Transferring the booth to a joint venture unit for use under the guise of a joint venture.
B. Transferring the booth to suppliers, collaborators, or affiliated units under the guise of supply or collaboration.
C. Transferring the booth to (lending it to) other units under the guise of borrowing.
D. Unauthorized swapping or exchanging of booths.
E. Charging high booth fees or exhibition fees by suppliers, joint ventures, collaborators, etc.
F. Other behaviors that violate the transfer or subletting (selling) rules.
2. During the exhibition, no exhibiting unit may engage in business activities unrelated to the exhibition.
3. After the exhibition officially begins, no exhibits may be removed from the booth or exhibition site without permission from the organizing committee. Furthermore, no exhibits or booths may be dismantled before the organizing committee officially announces the withdrawal notice.
◆ Transaction Statistics
During the conference, daily transaction statistics will be compiled. Please have the personnel responsible for transaction statistics from each exhibiting unit collect the forms from the transaction statistics office (specific location will be notified separately) and provide feedback on the statistics within the specified time each day.
◆ Noise Control
The volume emitted from the booth must not disturb visitors or other exhibiting units. For audio-visual equipment displays, the volume should be below 40dB. In the event of any complaints deemed reasonable by the organizing committee, the committee reserves the right to limit the operation of the exhibit and sound. For repeated violations, the organizing committee has the right to impose penalties (such as power cut, etc.).
◆ Booth Safety
The basic security work provided by the exhibition hall includes setting up security guards, conducting venue patrols, clearing the venue after closing, fire safety management, parking lot management, and conducting regular patrols around the venue at night to ensure the safety of the exhibition activities and maintain good order. The security measures taken can only serve as a deterrent and preventive measure against potential theft and human damage, but are not foolproof means of preventing crime. The exhibition hall will do its best to ensure the implementation of security work and the safety of exhibits, but will not bear any responsibility for personal injuries, loss, or damage to exhibits that occur during the exhibition. Exhibitors are responsible for the safety of their own exhibits.
◆ Booth Cleanliness
The cleaning of standard booths and public areas during the exhibition setup and dismantling period is the responsibility of the organizing committee, while the cleaning of custom booths is to be handled by the exhibiting companies themselves. During the exhibition, exhibiting companies should maintain consistent cleanliness within their booths and dispose of waste in designated trash bins, while also providing paid cleaning services based on booth area. During the dismantling period, exhibiting companies with custom booths must remove all custom materials from their booths or pay the corresponding waste disposal fee to the exhibition hall, which will send personnel to clean. Items not removed from the booth within the specified time will be treated as abandoned property.
(5) [Dismantling Arrangements and Management]
To maintain discipline and order within the venue, the organizing committee will issue a "Dismantling Notice" before the exhibition closes and make the following regulations regarding the dismantling work. All relevant units must strictly comply:
1. Before the organizing committee issues the "Dismantling Notice", no exhibiting unit may begin to pack up equipment, supplies, or documents.
2. All cardboard boxes and wooden crates in the exhibition hall must not be placed in the aisles to allow for the removal of the aisle carpet. Dismantling work can begin at 15:00. The exhibition hall will close at 22:30.
3. To remove exhibits from the venue, a release pass from the organizing committee must be presented for verification by the security guard before being allowed to leave.
4. Please take care of all facilities within the venue, and do not carry them away or damage them. Violators will be required to compensate at market value, and in severe cases, will face heavy penalties.
5. If exhibiting units have rented equipment from the organizing committee or exhibition hall, they must return it to the relevant service desk within 30 minutes after closing.
6. After the dismantling work is completed, all items abandoned in the exhibition hall, including exhibits and materials, will be removed, and the organizing committee reserves the right to handle these items. Any resulting losses will be borne by the exhibiting units.
